How to Plan a Destination Wedding: Resorts, Costs and Packages Explained
A destination wedding can give you more than one beautiful day. It gives you time with the people you love in a place you’re excited to visit. But once you start looking at beach photos and wedding packages, practical questions come quickly: Where should everyone stay? What will guests pay? And what does a “free wedding” actually include?
The best place to start is with the experience you want, then find the destination and resort that can support it. Here’s what to consider before you choose your wedding date. See how our destination wedding specialists help couples plan the trip and celebration.
1. Decide what kind of celebration you want
“Destination wedding” can mean an elopement for two, a ceremony with your closest family, or a multi-day celebration with dozens of guests. Before comparing resorts, talk through a few basics:
- Approximately how many people would you invite?
- Do you want a ceremony and a meal together, or private events such as a welcome party and reception?
- Will children be attending?
- How many nights can your guests reasonably stay?
- Which departure airports will most guests use?
- What amount would you feel comfortable asking guests to spend on their trip?
You don’t need a final guest list yet. A realistic estimate will help you avoid choosing a venue that’s too small or a resort that doesn’t fit the people coming with you.
2. Choose a destination your guests can reach
The prettiest location on your inspiration board may still be a difficult trip for your group. Look at flight options, travel time, entry requirements and the cost of staying long enough to enjoy the wedding.
Think about the trip beyond the ceremony, too. Do you want everyone together at an all-inclusive resort? Would your guests enjoy several days of activities? Are some guests likely to make the trip into a longer vacation?
Jamaica and other Caribbean destinations are popular choices for couples who want a beach wedding and a resort stay in one place. The right island and resort depend on your guest list, budget, preferred travel dates and wedding vision.
3. Choose the resort before choosing the package
A wedding package can look appealing on paper, but your guests will spend much more time at the resort than at the ceremony. Ask whether the property suits the entire trip:
- Is the resort adults only, or can children attend?
- Does it offer enough room options at prices your guests can manage?
- Which wedding venues can accommodate your group?
- What happens if guests arrive on different dates?
- What dining and entertainment are included in their stays?
- Is the reception you picture included, or would it be a separate event?
This is also the time to ask about the specific venue you want. A beach ceremony, garden gazebo and overwater chapel may have different capacities, availability and costs. Sandals, for example, lists a range of venue styles, while its terms identify additional fees for certain specialty venues.
4. Understand the full destination wedding cost
There isn’t one useful answer to “How much does a destination wedding cost?” The total depends on the couple’s accommodations, guest count, ceremony package, private events and choices such as photography, flowers and décor. Sandals likewise explains that accommodations, events, services and the number of guests affect the final wedding cost.
When comparing proposals, separate the budget into three parts:
An all-inclusive stay can make some guest expenses easier to anticipate because meals, drinks and resort activities may be included. A private catered reception may still be an additional wedding expense. Sandals makes that distinction on its Jamaica wedding page.
Cost & Questions to Ask:
Your trip: What will your room, flights and transportation cost?
Your wedding: What is included in the ceremony package? What do your preferred venue, reception, photos and extras cost?
Guest travel: What will guests pay for rooms and flights, and are there suitable options at more than one price point?
Guest rooms can affect your budget and benefits, too. Read what couples need to know about destination wedding room blocks.
5. Ask what “complimentary wedding package” means
Some resorts offer a wedding package when a couple books a qualifying stay. That can be valuable, but complimentary package does not mean a complimentary vacation or unlimited wedding services.
Sandals currently advertises a complimentary Sweetheart Wedding Package for celebrations of up to 10 guests with a minimum seven-night stay. Its published terms specify a Club or Butler room category and a wedding held Monday through Thursday between 9 a.m. and 2 p.m. Marriage license and administrative fees are generally separate under the standard package terms.
Sandals also advertises a limited-time Jamaica wedding offer: an upgraded Sweetheart package for up to 50 guests at select Jamaica resorts, with a minimum five-night stay and marriage license fees included. The offers have different conditions, so ask which one applies to your resort, dates and room booking. “Up to 50 guests” does not mean 50 guests’ resort stays or flights are free.
Before booking any complimentary wedding offer, request a written breakdown of:
- The qualifying resort, room category, stay length and wedding date
- Everything included in the ceremony package
- License and administrative fees
- Venue fees and any day or time premiums
- The cost of a private reception and other additions you want
- The terms that apply if your guest count changes
The goal isn’t simply to find a free package. It’s to find a wedding plan you love at a total cost you understand.
6. Plan the guest experience early
Your guests may need to request time off, arrange childcare, budget for flights and decide how long to stay. Once you’ve confirmed the resort and wedding date, give them clear information about booking their rooms and traveling to the destination.
You can make the experience easier by thinking through arrival days, transportation, optional group time and how much of the trip you want scheduled. Some couples love a full weekend of events. Others prefer one wedding celebration and plenty of free time. Either approach can work when guests know what to expect.
Destination wedding FAQs
How far in advance should we start planning?
Start as soon as you have a likely season and approximate guest count, especially if a particular resort or venue matters to you. Wedding space, preferred room types and convenient flights all depend on availability. You can refine the details after you identify realistic options.
Do guests pay for their own travel to a destination wedding?
That is a decision for each couple. In many destination wedding plans, guests book and pay for their own flights and accommodations. Be clear about expected costs before asking people to commit, and consider whether the resort offers room choices that suit different budgets.
Is a destination wedding legally recognized at home?
Requirements depend on where and how you marry. Sandals says its legal weddings are binding in a couple’s home country and state, and its wedding team helps with the required documents. Confirm the requirements for your destination and circumstances before making plans based on a legal ceremony.
Do we need a wedding planner and a travel advisor?
They help with different parts of the trip. A resort wedding team handles its ceremony services and on-site details; Sandals says its wedding planning team is included with its wedding offerings. A travel advisor can help you compare resorts and room options and plan the travel side for you and your guests.
Can we visit a resort before booking our wedding?
Some resorts offer wedding preview visits. Sandals has a Test-Drive Your Wedding program that lets eligible couples tour venues and meet the wedding team during a resort stay at a special rate. Check the current program terms before arranging travel.
